Key concepts and when to use them

An asset is a reusable image or document with its own title, alt text, caption, and description. An asset relationship gives that file context and a role. Origo supports relationships to products, categories, brands, and custom records. There is no generic product-family asset ownership.

Permissions and preparation

Prepare approved files and the text that helps people recognise and use them. Admins and editors can manage assets and relationships. Viewers can inspect the library and usage without changing it.

Steps

  1. Upload or select the reusable asset and add a clear title and descriptive text.
  2. Choose the product, category, brand, or custom record that needs the asset.
  3. Assign a clear role, such as main image, gallery image, or document.
  4. Use a specific variant asset only when the visible or supplied item differs from the parent.
  5. Review current usage before replacing, detaching, or deleting the asset.

Verification

Open representative records and confirm the correct asset, role, title, and alternative text appear in context. When an asset is reused, check that every intended relationship remains correct.

Common mistakes and rules

  • Do not claim a product family owns an asset; use the supported product, category, brand, or custom-record relationship.
  • Do not upload duplicate files merely to change a role or order.
  • Do not delete an asset until its active uses have been reviewed.

Work through a representative example

Use one approved fabric-care PDF for every product that needs it, then attach it to each relevant product. Give the file a clear title and confirm its role on a representative record. If a brand mark is used across the catalogue, attach it to the brand instead of copying it into each product. This preserves one maintained file with clear, public-facing context.
