Key concepts and when to use them

A list is a managed set of options, such as colour, material, season, or safety class. A single-choice list records one option. A multiple-choice list records several options. Lists make filtering, reporting, imports, and exports consistent.

Permissions and preparation

Agree the option owner and codes before publishing a list. Administrators and authorised editors can maintain shared lists; viewers can inspect selected values.

Steps

  1. Name the list after the business concept it controls.
  2. Add clear option names and stable codes where data will be exchanged or reviewed.
  3. Decide whether a product can select one option or several.
  4. Connect the list to the appropriate attribute.
  5. Enter sample products and check that the available choices are clear and complete.

Verification

Compare similar products and confirm each uses the same option for the same meaning. Export a small sample if another system depends on the option codes.

Common mistakes and rules

  • Do not use a list for free-form prose.
  • Do not create near-duplicate options such as different spelling or punctuation for the same value.
  • Do not delete or rename a widely used option without reviewing affected products.

Work through a representative example

Create an Upholstery material list with options such as fabric, leather, and velvet. Connect it to one product attribute, then select an option on two chair records. Review a small export to confirm the same option appears consistently. If a supplier uses a new term, decide whether it maps to an existing option before adding another near-duplicate choice.

Keep option codes stable where a job exchanges list values with another system. A visible label can improve, but a changed code needs the same review as any other data exchange decision. Check the affected job before release.
